How do I share a meeting with my committee members in the Governance360 app?

This article will summarise how a Board admin can share a meeting invite with a specific committee in the Gov360 app.

  • This feature is only available to anyone with global or committee administrator rights

  • Assuming that you hold these rights, Click on your organisation's name under 'My Organisations'.

  • You should land on the 'Meetings' tab of the portal.

  • From here, you will be able to see your upcoming Board meetings (shaded in blue), as well as any past Board meetings (shaded in grey).

  • Click on the Board meeting that you'd like to share with a specific committee.

  • This should currently say 'Draft - not yet visible to Members' in an orange lozenge. This means that only you, and others with Admin permissions can currently see this meeting and the papers it holds.

  • To publish this meeting and share it with your commission - click the 'Publish Now' button to the right of the meeting title.

  • Now choose the options that you wish to add to the meeting properties (you can amend these later on in the Activity Log)

  • Press 'Publish Now' to send an email to all meeting participants updating them that the meeting and its papers are ready to view

  • They will NOT receive the papers directly by email. They will receive a link to the Meeting instance only, and will need to log-in securely as normal in order to view and download.
